Web Correspondence

Planned Implementation Date: 06/28/2008

This module will replace a portion of the CMS Legacy Correspondence module.  Correspondences are initiated in CMS Legacy, but must be completed on the Web Correspondence module.  The ability to reprint, edit, and cancel existing correspondences will be available only on Web Correspondence.  An approval process for certain correspondences will be available for counties.  The process of generating a Notice of Action (NOA) and denial letters will be consolidated and the format will be replaced with the Family Voices version.   

The denial/closure reasons and citations have been updated.  If a user selects a denial/closure reason the associated citation will automatically display on the letters without user intervention.

The new Family Voices NOA and Cancellation letters will be included with the Web Correspondence module:

Notice of Action (NOA) Letter Modification

NOA letters are revised and written in a “Family Friendly” language.   

Three NOAs will be available: a Service Authorization Request (SAR) NOA, Case Management NOA and Referral NOA. 

  • SAR NOA: To be used when denying a pending request or cancelling an authorized SAR. The SAR NOA will include the service provider and service codes. 
  • Case Management NOA:  To be used when closing a case. This letter will be generated from Web Correspondence module but selected from Client Eligibility, Medical Eligibility, Financial Eligibility or Program Eligibility.  The MC2134 will no longer be available.  Two letters will be automatically generated when a case is closed one to the primary addressee and another to notify the provider.
  • Referral NOA:  To be used when denying a case.  This letter will be generated when the case is denied prior to eligibility being established.

IMPORTANT NOTE:  All NOAs will provide the family the right to appeal.

Cancellation Letter Modification

  • Cancellation Letter: One Family Voices Cancellation letter will be available.   The purpose of the letter is to notify the family when the provider has ended/terminated medical services.  This letter will automatically generate when this denial reason is selected.

  • Appeals Letter: This is the letter for the Family Voices appeals process.

Web Follow-Up

Planned Implementation Date: 06/28/2008

This module will replace the CMS Legacy Follow-up module.  Many of the features from the Legacy Follow-up module will carry over to the Web Follow-up module.  Features include the ability to divide a follow-up into smaller tasks and delegate to Assigned users.  Attachment types on a Web Message will include the following: patient, case notes, SARs, and correspondences.

 

Web Provider Registration

Planned Implementation Date: 06/28/2008

A new web based provider file will replace the existing CMS Legacy Vendor Registration module and will display providers from the Provider Master File (PMF), Non PMF, and Special Care Centers.  Users will be able to select from the PMF and Non PMF list to send correspondence, add a medical home, enter medical reports and generate denials. Any case with existing provider data will remain as is and if an update is required the user will select from the new PMF or Non PMF file.

A user may not modify the details in the PMF but may create a temporary address for generating letters or a SAR.  Non PMF providers’ records may be added, displayed and/or tracked through a new web screen.

A new security feature will allow new Non PMF providers to be entered by County System Admin, State Admin and Provider Services Unit.    In addition, a new validation edit will prevent duplicate entries, invalid entries or incorrect addressees.
