Workflow Stages

DHCS WordPress Training Guide

This workflow applies to all content types: Pages, Files, and Custom Post Types (CPTs). It ensures content is reviewed and approved before publishing, with built-in email notifications at each stage.

Stage 1: Not Submitted
  • What happens: Content is saved as a draft but not yet in review.
  • Set by: Content Contributor.
  • Action: None yet.
  • Tip: Use this stage while building your content.
Stage 2: OC Review

What happens: The content enters the OC Review stage for compliance checks.

Set by: Content Contributor.

Action: OC Web Team reviews content for style, accessibility, and DHCS policy compliance.

Important: Notifications reset after publishing.

Notifications:

  • Default: Content Contributor and OC Web Team notified.
  • If you open a page or document that’s already in OC Review (meaning someone else has submitted it for publishing), you won’t automatically receive status updates. To get notifications, go to the Editorial Workflow panel and add yourself under “Additional users to notify.” Enter your email there to follow the page’s status changes.
  • Optional: Add other team members or managers to the Notification Menu.
  • Caution: The workflow process itself can generate many emails, depending on the number of stages the content must go through.
Stage 3: Corrections Needed
  • What happens: Content Contributor updates content based on OC Web Team comments.
  • Set by: OC Web Team
  • Action: Content Contributor makes corrections and adds a comment.
  • Next: Content Contributor corrects content, adds a comment, and sets workflow back to OC Review.
  • Notifications: Content Contributor notified with OC comments.
Stage 4: CDO Review
  • What happens: Content with data is reviewed for de-identification standards
  • Set by: OC Web Team.
  • Action: CDO Team reviews compliance.
  • Notifications: Content Contributor + CDO Team notified.
Stage 5: CDO Approved
  • What happens: Data compliance confirmed; content ready for publishing.
  • Who does this: CDO Team.
  • Action By: OC Web Team reevaluates and prepares for publishing.
  • Notifications: Content Contributor is notified when the stage changes.
Stage 6: OC Approved (Published)
  • What happens: Content is published and live on the site.
  • Who does this: OC Web Team.
  • Action By: OC Web Team published content.
  • Notifications: Content Contributor gets an email confirming content is published.
